Q: You designed Office Wizard with small businesses in mind, but our company isn’t small – and yet we do need a procedures manual.  Will Office Wizard work for us?

A:  Absolutely!  Office Wizard is completely scalable – and works perfectly for a one-person sole proprietorship or a large company – and is applicable to any industry.


Q: I have a 5-person office.  How many Office Wizard programs do I need?

A:  Just one.  We’ve made this as business-friendly as possible, so there is no charge for additional uses or copies.  Make as many copies as you need and distribute them within your own company as you see fit.


Q:  Is the Office Wizard manual for the whole office or for specific jobs/ positions/tasks?

A:  Both.  Certain sections contain standard information used by all personnel and should be filled out prior to distribution to everyone.  The person(s) filling out these sections should have direct knowledge of the task (i.e. receptionist fills out Telephone section, etc.).  This ensures that employees have standard procedures to follow for certain tasks (i.e., naming of documents, etc.).   Other sections are designed for specific jobs.  The manual makes clear which is which as it walks you through the process.


After the standard sections have been filled in, distribute the program to all employees, either by saving it in a common directory or on a floppy disk.  Each employee should save their own copy on their computer so they can make updates as needed.  The remaining sections are to be filled out by each individual because the information requested is unique to them and their specific duties and work stations. 


Q: Our company uses MACs, not PCs.  will the Office Wizard work with a MAC computer?

A:  Absolutely.  As long as you have Word for MAC, the Office Wizard program will convert easily.


Q: There are a few sections in the manual that don’t apply to my office.  For example, I don’t have to schedule conference rooms or the use of equipment.

A:  No problem.  Simply skip over any sections that don’t apply to you or your business.  But in case your business grows and expands, the sections will be there if you need them.

Q:  My company needs a policies manual as well as a procedures manual.  Does Office Wizard have anything like that?

A:  Glad you asked!   In response to many requests such as yours, we’re working on an Office Wizard Policy Manual.  If you want to send us your e-mail address, we’ll notify you as soon as the software is available.


Q:  I see the term “GEMS” throughout the Office Wizard but I’m not sure what that means.

A:  GEMS is an acronym that stands for:  Glitches, Exceptions and Masters/Methods.  It is designed to call attention to procedures that require special handling.  Here are some examples:

     -Glitches are circumstances to be aware of and/or recurring problems. 
For example, if a certain copier needs the reset button hit after a paper jam or it won’t work, you’d want to note that.  Or, if a certain vendor is always late on delivery, you’ll want to note that this item needs to be ordered a few weeks in advance.  That kind of thing.

     -Exceptions are deviations to standard procedures. For example: All statements should be mailed out on the 28th of each month EXCEPT for ACME Corp.  Their statement should be mailed on the 15th.

     -Masters/Methods - Experts who can troubleshoot a problem quickly or alternative method.  For example, Barbara is an expert on the Timeslips program.
